Overview
A down-to-earth, no-airs couple is looking for a discrete, proactive, organized, personal assistant with strong culinary skills. The ideal candidate will help manage the principal’s busy schedule, coordinate with vendors, and ensure the homes are well-maintained and stocked for visits. Duties include tasks like grocery shopping, meal preparation, filing paperwork, and providing general assistance to the principal as needed. Strong organizational, dynamic communication and problem-solving skills are necessary to juggle the principal’s dynamic schedule between their two primary residences in North Texas.
While assistance coordinating and relaying tasks to the existing staff, staff management is not a part of the job.
Requirements
- Minimum 5 years related experience working in a similar role for a private family.

- Flexible schedule and ability to adapt to change.
- Willingness to work occasional weekends/holidays as needed.
- Exceptional organizational skills
- Experience preparing healthy meals with little to no direction.
- Positive and professional attitude.
- Technology savvy with proficiency in Mac, iPhone, and PC.
- Comfort with Crestron & Control4 smart home tech.
- Cross-generational communication.
- Must like dogs.
- Utmost discretion, professionalism, confidentiality, and privacy protection are required.
Duties & Key Success Factors
Personal Assistant/HM Duties:
- Set up calendars to track:
- The maintenance schedules for the three primary residences
- Place Animal Care items such as vet visits and medication administration on the calendar.
- Coordinate, monitor, and log all maintenance and improvements for the properties.
- Create, update, and implement manuals and task lists for cleaning and maintenance of the homes.
- Assist with technology and computers: software updates, hardware setup, troubleshooting, etc.
- Review and approve staff timesheets and submit them to the office.
- Update household inventories and procure supplies.
- Manage vendor and contractor relationships, including scheduling and project management.
- Routinely inspect properties for needed repairs and address them with vendors.
- Organize/monitor household projects. Collaborate with the principal in redecorating spaces, switching furniture, and updating household items and holiday décor.
- Responsible for car maintenance and related issues.
- Personal shopping and errands.
- Rare visits to Colorado home to assist with large projects or small gatherings of family.
- Act as liaison to the Principal’s family office for mail, packages, receipts, and invoices.
- Assist with three aquariums (1 salt, 2 freshwater) with plants and supplies for both.
F&B Duties
- Maintain Pantry and Grocery inventory for the primary and secondary residences.
- Prep food for when Principals visit Colorado home. Pack cooler(s) to be loaded on the plane. Travel to location only during small family gatherings.
- Ensure there are easy/healthy grab-and-go meals available for Breakfasts and Lunches.
- Meal-prep dinners.
- Keep the kitchen clean and sometimes assist the maids in house cleanings and organization of closets.
- Oversee a few small events and family gatherings including holiday celebrations, when needed.
Other Considerations
4 dogs in a home south of Dallas. Very sweet rescues.
Additional Staff
- 3 men based on a Ranch south of Dallas (including the Ranch Manager who coordinates). Will travel to Dallas home to care for property and grounds and take care of seasonal decorations. All long-term employees.
- 1 housekeeper on a Ranch south of Dallas. Enjoys helping with cooking.
- 1 housekeeper at Dallas home.
- All employees operate as a team, no direct management is needed by this person. Simply relaying the Principal’s requests.
Physical Requirements
- Ability to lift 40 pounds
- Frequent bending, stooping, and stretching
- Ability to negotiate a multi-story house with stairs many times a day
- Ability to use a ladder up to 6’
