Placement services start with a phone conversation with the Principal or their representative to identify the home’s needs and the preferences of the position.  After receiving the signed engagement letter and the non-refundable retainer fee, we initiate the process of creating a Job Description for your review and approval. Candidates are then provided to you via email, along with a brief summary of our conversation with them, their resume, and either a summary of our conversation(s) or their EMS Skills Profile, depending on which package you select.  We recommend that our clients have an initial Zoom Video Interview with candidates to assess the candidate’s compatibility with your home’s culture. Before conducting an in-person interview, we perform an open-source background check on the candidate to ensure the safety of your home. Once a candidate is chosen and both parties accept the offer letter, we proceed with reference checks and our background screening process, which includes a Behavior Analysis Interview.

Chief of Staff

The Chief of Staff is very experienced, savvy, and resourceful in all aspects of household and staff management.

Property Managers

Managing the grounds of large estates requires special knowledge and insight. The Caretaker or Property Manager is the one who oversees the maintenance and upkeep of your property down to your taste, standards, and vision.

Family Assistants

Similar to that of a Personal Assistant, the Family Assistant handles all the household duties that the family needs help with.

Private Chefs

A Private Chef often possesses a formal culinary education, has been an apprentice in fine dining establishments, and/or works exclusively for a private family or individual.

Housekeepers

Although housekeeping duties vary between households, a Housekeeper’s primary role is to handle all the cleaning and organization in the home. They are also tasked with preparing meals, running errands and accompanying vendors to their work areas.

Estate Managers

The position of an Estate Manager is more administrative in nature. This individual is the main point of contact between the Principal and the service environments they own, as well as, the staff that run them.

Domestic Couples

Domestic Couples occupy a unique place in the constellation of private service, providing each service required to run a household and maintain a home.

Butlers

Originally, Butlers were primarily limited to the Food & Beverage department of the home.  Today, Butlers wear far more hats and bring a sense of elegance to the residence.

Luxury Residence in Austin is seeking a Personal Assistant for the family who can help coordinate the Principals’ personal calendar, coordinate domestic and international travel, and help keep the schedule and keep track of the family’s medical records and doctor appointments.

The ideal candidate will be someone who can easily fit into the current team without disruption. Matching the current team mentality and willing to lend a hand wherever is needed if it benefits the Principals and your co-workers.

Requirements

  • 5-8 years’ experience in working in a HNW environment full-time.

Duties & Key Success Factors

Communication/calendar and scheduling management
  • Serve as a point of contact for Mrs., assisting with various communication needs (via email, text, phone).
  • Handle Mrs.'s appointments, including weekly recurring, medical, social, and travel appointments.
  • Handle children's schedules, such as school activities, tutors, social events, tennis lessons and tournaments, wakesurfing, doctor appointments, etc.
  • Coordinating Mr. and Mrs.'s calendars with the EA to ensure Personal and Business do not overlap.
  • Ground transportation arrangements, plus occasional driving duties if needed.
Family health and wellness
  • Serve as patient liaison for Mrs.
  • Manage family patient portals and medical records (Mrs.'s portals for various physicians, as needed).
  • Manage family supplement orders and inventory.
  • Family Prescription Management.
Travel
  • Schedule trips and manage all changes with the aircraft management company.
  • Coordinate trip specifics with the crew.
  • Coordinate luggage shipments.
  • Process payments for retail purchases for the family while traveling. Including coordinating shipments to the correct destination.
  • Communicate with international retail vendors regarding shipping items purchased to Austin.
  • Handle USA and International ID renewals (passport, TXDL, Visas, etc.) for the family.
Misc. research and requests
  • Handle specialty ordering, including fine jewelry and handbags.
  • Manage the Christmas gift recipient address list and coordinate with the House Manager to facilitate deliveries.

We are helping a high-level CEO source the replacement for his long-tenured Executive Assistant, who is retiring.
