Placement services start with a phone conversation with the Principal or their representative to identify the home’s needs and the preferences of the position.  After receiving the signed engagement letter and the non-refundable retainer fee, we initiate the process of creating a Job Description for your review and approval. Candidates are then provided to you via email, along with a brief summary of our conversation with them, their resume, and either a summary of our conversation(s) or their EMS Skills Profile, depending on which package you select.  We recommend that our clients have an initial Zoom Video Interview with candidates to assess the candidate’s compatibility with your home’s culture. Before conducting an in-person interview, we perform an open-source background check on the candidate to ensure the safety of your home. Once a candidate is chosen and both parties accept the offer letter, we proceed with reference checks and our background screening process, which includes a Behavior Analysis Interview.

Chief of Staff

The Chief of Staff is very experienced, savvy, and resourceful in all aspects of household and staff management.

Property Managers

Managing the grounds of large estates requires special knowledge and insight. The Caretaker or Property Manager is the one who oversees the maintenance and upkeep of your property down to your taste, standards, and vision.

Private Chefs

A Private Chef often possesses a formal culinary education, has been an apprentice in fine dining establishments, and/or works exclusively for a private family or individual.

Housekeepers

Although housekeeping duties vary between households, a Housekeeper’s primary role is to handle all the cleaning and organization in the home. They are also tasked with preparing meals, running errands and accompanying vendors to their work areas.

Estate Managers

The position of an Estate Manager is more administrative in nature. This individual is the main point of contact between the Principal and the service environments they own, as well as, the staff that run them.

Domestic Couples

Domestic Couples occupy a unique place in the constellation of private service, providing each service required to run a household and maintain a home.

Butlers

Originally, Butlers were primarily limited to the Food & Beverage department of the home.  Today, Butlers wear far more hats and bring a sense of elegance to the residence.

Housemen

  • Coordinate with the Estate Manager on daily activities and household needs.
  • Coordinate current and upcoming activities and needs with Mrs. weekly.

  • Help maintain the accuracy of the household and personal calendars.
  • Coordinate regularly with EA regarding schedules and events. EA handles all event coordination; EM will help set up and execute.
  • Ensure that household stocking, inventory, and organization are meticulously maintained, adhering to the system put in place by Principals.
  • Establish and maintain regular staff meetings to keep staff proactively on task
  • Vendor management and schedule coordination. Active and updated vendor list of ~50 vendors, working with caretaker on existing vendor relationships
  • Renovation and construction coordination as needed.
  • Grow to manage household staff, working in coordination with Principals (currently Family Assistant, Household Assistant, Property Caretaker, and Housekeeper).
  • Set and manage household staff schedules to support the Principals’ schedules and ensure appropriate coverage.
  • Establish and maintain routine preventive maintenance schedules, including task lists, routine maintenance, and repairs.
  • Liaise with general contractors, remote property managers, and all vendors.
  • Property management and facilities systems – including maintenance logs, construction documents, user instructions, operating manuals, warranties, records, etc.
  • Work with direct reports to set priorities and document processes and responsibilities for their specific positions.
  • Routine Property Walkthroughs – Survey and record property conditions, maintenance needs, and deficiencies as reported or observed.
  • Oversee inside upkeep, repairs, landscaping, and gardener and coordinate needed attention with appropriate household staff and Principals
  • Answer door, phone. and gate. Either greet or coordinate staff to greet and welcome guests and vendors.  Training may be needed.

Duties & Key Success Factors

  • Full-charge housekeeping, including Housekeeping, House Cleaning, and Deep Cleaning.

  • Organization of personal and storage closets.
  • Inventorying and ordering household supplies.
  • Care and laundering of fine linens and fabrics.
  • Care and laundering of culture garments, including steaming, ironing, and mending.
  • Care of silver, crystal, and fine jewelry.
  • Care of various surfaces such as stone, wood, ceramic, and metals.
  • Cleaning chemical usage and mixing.
  • Understanding of the cleaning and sanitizing process.
  • Garment Care & Closet organization.
  • Laundry, including ironing and mending.
  • Stain removal.

Other Considerations

The Principals only spend approximately 4-6 months of the year in Dallas.

Overview

Family in the northeastern suburb of Minneapolis-St. Paul is looking for the help of a Housekeeper and Family Assistant to help care for their newly acquired 7,200 sq. ft. home on 1.5 acres. The home is comprised of Mr., Mrs., two children, and two small fur babies. The ideal candidate will be able to handle a variety of tasks, including the daily upkeep of the residence and helping coordinate vendor visits for household maintenance, maintenance and upkeep with the laundry, dry cleaning, pet grooming appointments, grocery shopping, and other indispensable tasks that facilitate the family’s ability to spend focused quality time with their children.  Relocation compensation is not being offered and only local candidates will be considered.

Requirements

  • 3 - 5 years of industry experience
  • Non-Smoker
  • Valid driver’s license with clean record
  • Capable of passing extensive background check and BAI interview
  • Strong communicator, both written and verbal
