Overview

Location: Fort Worth, TX (DFW candidates will be given priority) Schedule: Tue-Fri 7a.m- to 5p.m on-call as needed. Compensation:  $100,000 Benefits: None. NOTE:  Only those local to DFW are currently being considered. A long-established North Texas couple needs an experienced Household/Estate Manager to care for the property and home.  Discretion and Integrity are paramount.  Your responsibility will be the oversight and management of the 20-acre primary residence in east Fort Worth.  The main house is 10,686+ sq. ft., with two additional guest houses.  You will work in tandem with the Chief of Staff and the Director of Security to ensure the smooth operation of the home and the peace of mind of the Principals. The client is seeking a polished and professional house manager to oversee, coordinate and assist with all aspects of the home. The ideal candidate will embody all the requirements listed below. This person must also have the ability to coordinate with clients to manage accounts and budgets, engage local construction vendors for improvement projects, and create household manuals, schedules, and active lists.

Requirements

  • 7-10 years experience of managing a Residence for HNW clients.
  • Established longevity.
  • Ability to seamlessly fit into a harmonious work environment.

Duties & Key Success Factors

Household Manager responsibilities include but are not limited to:
  • Full charge Household & Property Management.
  • Setting appointments for house repairs and maintenance.
  • Create and execute a vendor onboarding and management process/policy.
  • Create a list (excel and contact database) of vendors and contractors for various trades.
  • Create and maintain Household & Property Inventory.
  • Manage, train, and develop household staff as needed.
  • Inspect the property weekly for repairs or maintenance. Independently coordinate small projects and discuss options for large ones with the Principal.
  • A strong understanding of swimming pool chemicals and maintenance is preferred.
  • Handle simple house maintenance like changing air filters, light bulbs, diffusers, etc.
  • Being hands-on with all administrative duties, including:
    • Invoice management and approval.
    • Assist with Establishing and maintaining a Household Operational Budget.
    • Receipt coding and collecting for staff credit cards.
    • Managing household staff schedules.
  • Ensure that the home and property are kept at the highest standards of cleanliness.
  • Run errands as needed (e.g., dry cleaning, shoe repairs/shine, groceries, pick up prescriptions, etc.)

Established family in Dallas with a history of long-termed employees is looking for a Property Manager to care for their lake property on Cedar Creek Lake. The property is 100 acres with a main house and several outbuildings (boat house, guest house, guest cabin, and chapel). Your job will be to maintain the property, in aesthetics and function. Discerning what needs to be done, acting upon those issues, resolving them, and ensuring they are complete and done to the standards of the Principal and Family Office is your primary job function. Maintaining a  professional and positive image in the local community is paramount. “We need to continue to be viewed by the local community as having honor and integrity.” The ideal candidate will be reserved and have good social awareness, knowing when to be an active listener and when to respectfully disengage from conversations.

Requirements

  • Be available for walks with Mr. and/or Mrs. to discuss new and ongoing projects and report to Family Office.
  • Cleaning, refinishing, and repair of patio and exterior furniture.

The family office is also considering a couple for this position.  The compensation will be adjusted appropriately, and the ideal candidate will be able to provide the following duties:

DUTIES AND RESPONSIBILITIES

Collaboration with Estate Manager

  • Perform and adhere to directions from Estate Manager.
  • Provide feedback on housekeeping staff, and suggestions for improvements.  Including staffing and procedural changes.
  • Staff Schedules and PTO coordination to ensure proper coverage.
  • Evaluate housekeeping staff and provide feedback on productivity, efficiency, quality, and attention to detail.
  • Assist Estate Manager with vendor oversight, as requested.
  • Develop and maintain detailed room-by-room housekeeping checklists, travel procedures and checklists, household housekeeping manuals, and inventory lists for all residences and the Florida Office.
  • Facilitate communication and updates between the housekeeping staff, Estate Manager, and Executive Assistant.

Staff Management

  • Daily inspections of staff’s work. Daily to-do lists. Nightly follow-up. Provide feedback on the day’s performance.
  • Lead by example and cultivate a team atmosphere.
  • Ensure each team member understands their responsibilities and they have the proper tools, equipment, and supplies to do their job.
  • Ensure that each team member follows health and safety regulations.
  • Report any and all hazardous, unsafe, high risk and non-compliant work issues to Estate Manager immediately.
  • Ensure appearance standards are maintained.
  • Ensure that each team member is taking rest breaks and lunchtime and are reporting their timesheet properly. Approve each timesheet by Monday evening for the previous week.

Housekeeping Responsibilities & Coordination

  • Approve and implement the right cleaning supplies and correct cleaning methods by internet research or manufacturer’s recommendations, and insure that each housekeeping staff understands and uses these approved methods.
  • Coordinate and ensure the performance of general and in-depth cleaning for all residences with a hands-on approach.
  • Handle the daily graces (i.e., fresh towels in the bathrooms, making beds, wiping bathroom and kitchen counters, loading and unloading dishwasher, etc.)
  • Responsible for the care of fine furnishings including antiques and artwork.
  • Empty trash and organize recycling.

Very private family in RURAL North Texas is looking for a highly discrete professional to maintain their large property in far north Texas. Close to the border of OK.  Primary responsibility will be to maintain the grocery and sundry inventories, coordinate vendor access to the various buildings on the property, and keep them in a ready state at all times.  The candidate will also be responsible for coordinating access to the main house to minimize the impact on the Principals.  This role will report to the Chief of Staff (5 years tenure with family and promoted from within) and will work hand in hand with the Property Manager and long-tenured current Personal Assistant.  The primary residence property is 160 acres with 5 buildings.  6000 sq. ft. main house, 2 ancillary houses, 1 storage barn, and 1 office barn. The principals are genuinely nice people who strongly emphasize their privacy.  The ideal candidate will seamlessly integrate into the team to ensure that the minutia of life is never experienced by the Principals.  She will work to ensure that all household policies are followed and adapt their service delivery as situations and preferences change and evolve.
