Overview

We are helping a high-level CEO source the replacement for his long-tenured Executive Assistant, who is retiring. The ideal candidate will have a high EQ and be well-traveled and capable of adapting their communications to suit the environment they are in and who they are speaking to, regardless of borders or cultural. They should be highly competent in logistical planning and capable of setting their ego aside for the preferences of the Principal and the success of the team.

The start date will be May or June. The current EA will provide training. You can expect to be fully up and running on November 1st. The Executive Assistant coordinates the daily business and personal calendars of the Chief Executive Officer (CEO) and other top Executive members by performing a variety of administrative, event-planning, and travel-related tasks. This dynamic role requires exemplary time management skills and the ability to identify and anticipate the CEO’s needs. This position requires an exceptionally high level of confidentiality, professionalism, and dedication.

Requirements

  • Bachelor’s degree in business management or related field required.
  • Well-travelled with extensive knowledge of both domestic and international travel.

Duties & Key Success Factors

  • Work directly with the CEO and top Executive members.
  • Use discretion, confidentiality, and good judgment to handle C-Level matters.
  • Receive and screen calls and visitors with a high level of discernment and professionalism.
  • Keep CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Determine priority of matters of attention for CEO; redirect or handle matters personally, as appropriate.
  • Maintain and coordinate daily business and personal calendars.
  • Be responsive to emails, texts, and phone calls with contact outside normal business hours.
  • Have flexible hours for projects and meetings as dictated by the needs of the business.
  • Responsible for maintaining travel calendars. This includes the coordination of travel arrangements, such as booking commercial and private flights, accommodations, ground transportation, preparing itinerary, etc.
  • Routinely perform a wide variety of support duties for the CEO and top Executive members.
  • Prepare, reconcile, and submit expense reports in a timely manner.
  • Maintain highly confidential and sensitive information.
  • Schedule internal and external meetings and/or events; assist with catering arrangements, the setup of virtual meetings, booking entertainment and travel arrangements, etc.
  • Complete various special projects, including PowerPoint presentations, financial spreadsheets, and agenda material.
  • Compose and produce letters and/or documents for the CEO’s signature.
  • Assist and work directly with other staff members, including pilots, house managers, and household staff members.
  • Performs additional duties as assigned by CEO.

Overview

Young couple in a northern suburb of Ft. Worth is looking for an experienced Housekeeper to help maintain the cleanliness of the residence and be the primary point of contact at the house when the Principals are away.  The home is 6,000 sq. ft. on 8 acres.   The home is comprised of Mr., Mrs., 4 small dogs and 3 cats, plus occasional foster animals. The ideal candidate will be able to maintain a highly dynamic schedule for the majority of the year with semi-frequent overnights to pet sit while Principals are out of town.  The schedule tapers off in January – March while Principals are in a secondary residence.  Candidate should have a clean driving record and comfortable providing transportation to/from airport and event locations for the Mrs.

Requirements

  • 8+ years industry experience.

Other Considerations

Schedule Notes: Below is an example of what to expect schedule-wise, it is not an exact schedule that would be followed. The candidate will meet with Mrs. weekly to discuss the scheduling needs for the following week.  Mrs. works diligently to provide as much advance notice as possible for travel.
  • March – January:
    • 5-day work week with Monday and Thursday off.
    • Principals travels for 3 – 7 days twice per month. During these times the employee will stay at the residence to care for the fur-babies. (guests not allowed)
  • January – End of March (Preferred time to take PTO):

Luxury Residence in Dallas is looking for a hands-on Estate Manager to help manage their 3 residences.  The primary residence is in Dallas, secondary in Aspen, and a third lake house east of DFW.  The ideal candidate will be someone who can greet guests, make them feel comfortable, and return to their duties managing their duties as a Honey-Do specialist with a positive energy.  The professional will also be able to keep the Principals in the loop on what’s going on around the residences and define priorities as the task list inevitably grows. The principals are committed to ensuring long-term employment with retention plans, and an Industrial Psychologist who has been working with the family for decades will be a part of the interview process. The main house is 12,000 sq. ft., the secondary residence is  ~6,000 sq. ft. with a garage apartment for the manager to stay, and the lake house is ~6,000 sq. ft. on about an acre.
