Overview

Luxury Residence in Austin is seeking a Personal Assistant for the family who can help coordinate the Principals’ personal calendar, coordinate domestic and international travel, and help keep the schedule and keep track of the family’s medical records and doctor appointments.

The ideal candidate will be someone who can easily fit into the current team without disruption. Matching the current team mentality and willing to lend a hand wherever is needed if it benefits the Principals and your co-workers.

Requirements

  • 5-8 years’ experience in working in a HNW environment full-time.
  • Established longevity.
  • Ability to seamlessly fit into a harmonious work environment.
  • Strong communicator, both written and verbal.
  • High level of discretion, loyalty, integrity, and honesty.
  • Highly organized and excellent eye for detail.
  • Valid driver’s license with a clean record.
  • Capable of passing an extensive background check and BAI interview.
  • Occasional Out-Of-Town required.
  • Bi-lingual strongly preferred (Spanish/English)

Duties & Key Success Factors

Communication/calendar and scheduling management
  • Serve as a point of contact for Mrs., assisting with various communication needs (via email, text, phone).
  • Handle Mrs.'s appointments, including weekly recurring, medical, social, and travel appointments.
  • Handle children's schedules, such as school activities, tutors, social events, tennis lessons and tournaments, wakesurfing, doctor appointments, etc.
  • Coordinating Mr. and Mrs.'s calendars with the EA to ensure Personal and Business do not overlap.
  • Ground transportation arrangements, plus occasional driving duties if needed.
Family health and wellness
  • Serve as patient liaison for Mrs.
  • Manage family patient portals and medical records (Mrs.'s portals for various physicians, as needed).
  • Manage family supplement orders and inventory.
  • Family Prescription Management.
Travel
  • Schedule trips and manage all changes with the aircraft management company.
  • Coordinate trip specifics with the crew.
  • Coordinate luggage shipments.
  • Process payments for retail purchases for the family while traveling. Including coordinating shipments to the correct destination.
  • Communicate with international retail vendors regarding shipping items purchased to Austin.
  • Handle USA and International ID renewals (passport, TXDL, Visas, etc.) for the family.
Misc. research and requests
  • Handle specialty ordering, including fine jewelry and handbags.
  • Manage the Christmas gift recipient address list and coordinate with the House Manager to facilitate deliveries.
  • Run errands as needed.

Overview

Estate Management Solutions is seeking a Household Manager/Personal Assistant for a 5,000 sq. ft. residence occupied by a single Principal in San Antonio. The role will include managing household operations and providing administrative support to the principal, as detailed below. Most days will be spent working closely with the Principal, their Chief of Staff, and other team members. Candidates must be flexible with the potential for extensive travel periods. While this position is titled Household Manager, its intention is to be an extension of the Chief of Staff. Some days, you will be taking dictation, drafting correspondence, or summarizing research; others, you will be asked to step in if/when the Housekeeper calls in sick or needs help. The ideal candidate will have strong administrative skills and a variety of interests.   You should be able to fit seamlessly into a culture of warmth and grace and be an avid who is comfortable exploring a variety of subjects with ease.  The Principal is very friendly and will want to get to know you genuinely and often want to engage in conversation about a variety of topics, including current events; you will need to ensure that you maintain soft professional boundaries.

We are helping a high-level CEO source the replacement for his long-tenured Executive Assistant, who is retiring. The ideal candidate will have a high EQ and be well-traveled and capable of adapting their communications to suit the environment they are in and who they are speaking to, regardless of borders or cultural. The start date will be May or June. The current EA will provide training. You can expect to be fully up and running on November 1st. The Executive Assistant coordinates the daily business and personal calendars of the Chief Executive Officer (CEO) and other top Executive members by performing a variety of administrative, event-planning, and travel-related tasks. This dynamic role requires exemplary time management skills and the ability to identify and anticipate the CEO’s needs. Requirements

Worth is looking for an experienced Housekeeper to help maintain the cleanliness of the residence and be the primary point of contact at the house when the Principals are away.  The home is 6,000 sq. ft. on 8 acres.   The home is comprised of Mr., Mrs., 4 small dogs and 3 cats, plus occasional foster animals. The ideal candidate will be able to maintain a highly dynamic schedule for the majority of the year with semi-frequent overnights to pet sit while Principals are out of town.  The schedule tapers off in January – March while Principals are in a secondary residence.  Candidate should have a clean driving record and comfortable providing transportation to/from airport and event locations for the Mrs.

Requirements

  • 8+ years industry experience.
  • Non-Smoker
  • Valid driver’s license with clean record.
  • Capable of passing extensive background check and BAI interview.

Schedule Notes: Below is an example of what to expect schedule-wise, it is not an exact schedule that would be followed. The candidate will meet with Mrs. weekly to discuss the scheduling needs for the following week.  Mrs. works diligently to provide as much advance notice as possible for travel.
  • March – January:
    • 5-day work week with Monday and Thursday off.
    • Principals travels for 3 – 7 days twice per month. During these times the employee will stay at the residence to care for the fur-babies. (guests not allowed)
  • January – End of March (Preferred time to take PTO):
    • Travel to secondary home to prep for Principal’s arrival.
    • Pantry & Fridge purge.
    • Project Supervision.
    • Regular household inspections.
    • End of March - return prep.
