Compensation: $100,000 – $150,000/year

Overview

We are helping a high-level CEO source the replacement for his long-tenured Executive Assistant, who is retiring. The ideal candidate will have a high EQ and be well-traveled and capable of adapting their communications to suit the environment they are in and who they are speaking to, regardless of borders or cultural. They should be highly competent in logistical planning and capable of setting their ego aside for the preferences of the Principal and the success of the team.

The start date will be May or June. The current EA will provide training. You can expect to be fully up and running on November 1st.

The Executive Assistant coordinates the daily business and personal calendars of the Chief Executive Officer (CEO) and other top Executive members by performing a variety of administrative, event-planning, and travel-related tasks. This dynamic role requires exemplary time management skills and the ability to identify and anticipate the CEO’s needs. This position requires an exceptionally high level of confidentiality, professionalism, and dedication.

Requirements

  • Bachelor’s degree in business management or related field required.
  • Well-travelled with extensive knowledge of both domestic and international travel.
  • A passion for service and creating positive experiences.
  • Ability to think outside of the box with a sense of urgency.
  • Ability to function well in a high-paced environment.
  • Represent the Company and the CEO in a positive light through great follow-through and sound judgment.
  • Five or more years of related administrative experience.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Exceptional organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills.
  • Ability to work independently.
  • Ability to pass drug screen.

Duties & Key Success Factors

  • Work directly with the CEO and top Executive members.
  • Use discretion, confidentiality, and good judgment to handle C-Level matters.
  • Receive and screen calls and visitors with a high level of discernment and professionalism.
  • Keep CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Determine priority of matters of attention for CEO; redirect or handle matters personally, as appropriate.
  • Maintain and coordinate daily business and personal calendars.
  • Be responsive to emails, texts, and phone calls with contact outside normal business hours.
  • Have flexible hours for projects and meetings as dictated by the needs of the business.
  • Responsible for maintaining travel calendars. This includes the coordination of travel arrangements, such as booking commercial and private flights, accommodations, ground transportation, preparing itinerary, etc.
  • Routinely perform a wide variety of support duties for the CEO and top Executive members.
  • Prepare, reconcile, and submit expense reports in a timely manner.
  • Maintain highly confidential and sensitive information.
  • Schedule internal and external meetings and/or events; assist with catering arrangements, the setup of virtual meetings, booking entertainment and travel arrangements, etc.
  • Complete various special projects, including PowerPoint presentations, financial spreadsheets, and agenda material.
  • Compose and produce letters and/or documents for the CEO’s signature.
  • Assist and work directly with other staff members, including pilots, house managers, and household staff members.
  • Performs additional duties as assigned by CEO.

  • Ability to lift 60 pounds
  • Frequent bending, stooping, and stretching
  • Ability to negotiate a multi-story house with stairs many times a day
  • Ability to use a ladder up to 10’
