Overview

A family in Fisher, IN, is in search of a hands-on Estate Manager to oversee their 25,000-square-foot home set on a meticulously kept 5-acre estate. This position is integral to cultivating the current staff to reach the family's standards of living and providing Mrs. with the confidence that the home is cared for according to her wishes.  The Estate Manager will be the Mrs’ primary go-to person for everything residence-related. They will be responsible for a wide array of tasks, including expense and budget reporting, household organization, improved service standards, and care of valuable and highly personal collectibles.

Additional condos in Southern Florida will need supervision. An ideal candidate for this role will have strong organizational capabilities and a systems-oriented mindset that is not stuck on their way of doing things.  The Mrs. is very sweet and deeply knowledgeable about every detail of the home. Her trust is best earned by listening to her advice and following through with instructions and details.

Duties & Key Success Factors

  • Coordinate with the Estate Manager on daily activities and household needs.
  • Coordinate current and upcoming activities and needs with Mrs. weekly.

  • Help maintain the accuracy of the household and personal calendars.
  • Coordinate regularly with EA regarding schedules and events. EA handles all event coordination; EM will help set up and execute.
  • Ensure that household stocking, inventory, and organization are meticulously maintained, adhering to the system put in place by Principals.
  • Establish and maintain regular staff meetings to keep staff proactively on task
  • Vendor management and schedule coordination. Active and updated vendor list of ~50 vendors, working with caretaker on existing vendor relationships
  • Renovation and construction coordination as needed.
  • Grow to manage household staff, working in coordination with Principals (currently Family Assistant, Household Assistant, Property Caretaker, and Housekeeper).
  • Set and manage household staff schedules to support the Principals’ schedules and ensure appropriate coverage.
  • Establish and maintain routine preventive maintenance schedules, including task lists, routine maintenance, and repairs.
  • Liaise with general contractors, remote property managers, and all vendors.
  • Property management and facilities systems – including maintenance logs, construction documents, user instructions, operating manuals, warranties, records, etc.
  • Work with direct reports to set priorities and document processes and responsibilities for their specific positions.
  • Routine Property Walkthroughs – Survey and record property conditions, maintenance needs, and deficiencies as reported or observed.
  • Oversee inside upkeep, repairs, landscaping, and gardener and coordinate needed attention with appropriate household staff and Principals
  • Answer door, phone. and gate. Either greet or coordinate staff to greet and welcome guests and vendors.  Training may be needed.
  • Cross-train staff to be able to set and serve at formal events and maintain regular training and refreshers across service skill sets as needed.
  • Continue to develop and maintain high standards in Housekeeping, Culinary, Entertainment, Maintenance, and Safety & Protection
  • Oversee the safety and protection of the property, ensuring security measures are strictly adhered to.
  • Ensure maintenance schedules are calendared and coordinated.
  • Ensure that clothing and valet services are managed according to family preferences.
  • Coordinate upkeep and regular maintenance of Miami Beach condos, ensuring properties are prepared for Principal visits.
  • Maintain daily punch list of items requested by Principals, ensuring timely attention and follow-up on each task.

We are searching for a Household Manager with strong cooking skills.

Salary will be on the lower end of industry standards.  But the flip side is that the Principals are salt-of-the-earth Texans who are genuine and grateful, and are the type of Principals PSP want to work for. The schedule will be Monday - Friday and on-call on the weekends. Travel is up to 50% of the time; you will be away from your home for several months at a time but will be given opportunities to return home for visits or have your spouse join you during stays at one of the other residences. There is a strong preference for Enlisted Aides.
